Import students from Excel

You can import students, and other data that supports importing, from an Excel (.xlsx) or CSV file of up to 5 MB and 10,000 rows. Open “Students”, then “Import from Excel”. There are four steps: “Upload”, “Map columns”, “Review” and “Done”.

Before you start: a ready Excel template

Press “Download Excel template”. It has Arabic column names, an example row and ready drop-down lists (such as grade and governorate), so mistakes are less likely. You can also upload your own file as it is and match its columns.

1. Upload

  • Drag the file onto the page or press to choose it.
  • If the file has several sheets, pick the right “Sheet”.
  • If the column names are not in the first row, set the “Header row”.

2. Map columns

Known columns are mapped automatically (“Mapped automatically”), and others get a suggestion (“Best guess — please check”).

  • Change any match from the list, or choose “Ignore this column”.
  • Required fields that are not matched yet are listed at the top.
  • For a file you import regularly, press “Save as template” to reuse the same matching.

3. Review

On the column-mapping page, before you press “Review data”, choose your “Import options”:

  • Match existing records: “Create only (all rows are new)”, or match on the student code, for example, then “Update it”, “Leave it” or “Treat as error”.
  • Date format in the file: day/month/year, year-month-day or month/day/year.
  • When rows have errors: “Import nothing” or “Import valid rows only”.

You see how many rows are valid and how many have errors, and what will be added or updated. Press “Download errors (Excel)” to fix them in your file.

4. Done

Nothing is saved before this step. After the import you see the result: added, updated and skipped.

Tips

  • Mobile numbers are accepted in any common Egyptian format and stored in one format.
  • Arabic-Indic digits (٠١٢…) and Western digits both work.
  • To export: open any list, apply the filters you want, then choose “Export”.
