Payment plans, dues, credit and refunds

Payment plans

Open “Finance” → “Payment plans” to create your center’s plans. Each plan has:

  • A type: “Monthly”, “Per session”, “Full course”, or “Installments” over a number of payments.
  • An amount, an optional registration fee and a due day in the month.
  • An option to prorate the first month for students who start mid-month.

A plan is linked to a group and applies to every student enrolled in it. You can pick a different plan for one student when enrolling them, or use “Assign plan” on their page.

Dues

  • On monthly plans each month’s fee is added automatically at its start, and future months are never added early.
  • “Dues” under “Finance” lists every item: paid, due, partial, overdue and upcoming.
  • An installment becomes overdue after the “Grace days before overdue” set under “Center settings” → “Finance”.

Credit

Anything a student pays beyond what is due stays as credit and is applied automatically to the coming months. Credit shows on the student’s page and on the receipt.

Refunds

The student’s page → “Plan & payments” → “Refund”. (Owner, administrator and accountant.)

  1. Pick the paid items from this month onward that you want to cancel; what was paid for them is added to the amount that can be refunded.
  2. If needed, choose “Withdraw the student from all groups (status becomes “Withdrawn”)”: their enrollments end today and their coming months are cancelled.
  3. The system shows the most that can be refunded, after first settling any open dues.
  4. Enter the refund amount, an optional deduction the center keeps, the payout method and the reason.
  5. Press “Refund”, then “Print refund voucher”.

Whatever is neither refunded nor deducted stays as the student’s credit. Registration fees are never refunded. Cancelling a refund puts the amount back on the student’s credit only; it does not re-enroll the student or restore cancelled months or installments.
