The self check-in device and student cards

Student cards

Every card shows the center’s logo and name, the student’s name, code and grade, a QR code and a Code 128 barcode. Both codes hold the student code only.

  • One student: the student’s page → “Print student card”.
  • A whole group: the group’s page → “Print student cards” (currently enrolled students).

The cards page opens in a new tab. Choose:

  • “A4 sheet (10 cards)” on an office printer: in the print dialog choose actual size (100%) and margins “None”, then cut along the crop marks. Each card is 85.6 × 54 mm.
  • “One card per page” on a PVC card printer: choose the card printer, paper size 85.6 × 54 mm and margins “None”.

Print cards from a normal browser window, not from the reception screen shortcut, which prints straight to the receipt printer.

The self check-in device

A device at the door shows “Scan your card”. The student scans it, sees “Welcome, {{name}}” and is checked in to their current session. The device never shows amounts or marks. When the student has no session now, or the card is not registered, it shows “Please see the front desk”.

1. Create an account for the device. “Center settings” → “Users” → “New user”. Give it a clear name such as “Main door device” and choose the “Self check-in kiosk” role only. This account can open only the self check-in page.

2. Set the check-in window. “Center settings” → “Academic”:

  • “Self check-in: before the session starts by”: 0 to 180 minutes (30 by default). Check-in stays open until the session ends.
  • “Student is late after”: minutes from the start of the session.

3. Set up the device. Any Windows computer or tablet with a USB scanner. Create a standard Windows user, then put a shortcut in its startup folder (Win + R, then shell:startup) with this target:

Put your center’s address in place of <center>, open it once and sign in with the device account; the sign-in is kept. You can use Windows Pro “Assigned Access” instead (see the reception screen setup guide).

To exit: long-press the logo for three seconds and confirm; the device is signed out.

Troubleshooting

ProblemFix
The device asks to sign in after every restartUse the startup-folder shortcut instead of Assigned Access.
It shows “Please see the front desk”The code is not registered, the student is archived or not active, or they have no session now. Check “Self check-in: before the session starts by”.
Scans are not picked upTest the scanner in Notepad: the code should appear followed by a new line. Turn on the Enter suffix and turn off Alt mode on the scanner.
