WhatsApp messages to parents
ECMS Pro prepares the text and the mobile number and opens a WhatsApp chat on the staff member’s device in one tap. The message comes from the center’s WhatsApp number the staff member uses, and nothing is ever sent automatically.
The “WhatsApp reminders” page
From “Groups & attendance” → “WhatsApp reminders”:
- “Absences”: the absent students on the day you pick, each with an absence message.
- “Fees”: the students who owe money, with “All due” or “Overdue only”.
- “Not sent yet” hides the ones already messaged.
Press “Send on WhatsApp” on any row, or use “Send the next one” to walk through everyone: each tap opens one parent’s chat, because the browser does not allow several chats to open at once.
From the session register
Once the register is saved: “Message the guardian on WhatsApp” for every absent student, and the marks message to the guardian and to the student for every present one. The “Send the next one” bar goes through them in order.
Who receives the message
The guardian’s mobile number first, then the student’s if there is none. The marks message “to the student” goes to the student’s own number only. When there is no mobile number, the row says why and links to the student’s page.
Message texts
“Center settings” → “WhatsApp messages”: six texts — the absence message, the fees message, marks to the guardian, marks to the student, exam results to the guardian and exam results to the student.
- Click a field (such as the student’s name, the group, the amount, the date or the results link) to insert it at the cursor.
- “Preview with sample data” shows the message as it will arrive and warns you if it is too long.
- “Restore the default text” brings back the original formal text.
Who can send
- Absence and fees messages: users with the “Send WhatsApp messages” permission.
- Marks and results messages: users allowed to send results, and teachers for their own groups.
- Teachers never see dues and never send fees messages.
Every message is logged with who sent it and when, so the same message is never sent twice by mistake.
